This package is a new concept which we have designed, aimed at providing landlords with an opportunity to address any concerns they have in relation to their property. Whether you’re struggling with time constraints, faced with arrears, or failing to make contact with your tenants, this concept allows Safe & Secure Property Management to act on your behalf and address any concerns you have.

Safe and Secure Property management appreciate that we provide a service aimed at not only fulfilling the expectations of our landlords but also at providing a quality service to our tenants. We take our responsibilities very seriously and strive to provide the best quality service we possibly can.

In order for Safe and Secure Property Management to provide quality properties to our tenants and prospective tenants we need to attract, secure and maintain good relationships with our landlords.
Essentially a lettings agency has two main responsibilities, firstly to advertise a property with a view to securing good quality tenants who will treat the property with respect and enjoy all the benefits that there chosen property has to offer and secondly, to collect the agreed sum of money (RENT) from the tenant on the agreed date and ensure that this is then transferred to the landlord in a timely fashion.


As a result Safe and Secure Property Management propose to take the following action,

  1. Review the current tenancy agreement
  2. Conduct relevant research into the tenant
  3. Attend the relevant property and make contact with the tenant(s)
  4. Establish and record all information relating to the landlords concerns
  5. Establish and record any proposed agreements or solutions the tenant may offer
  6. Record and present all findings to the landlord within agreed timescale.

Our research into this industry raised glaring issues which were unacceptable and prevented many letting agencies from providing the “quality service” which so many of them claim to offer. Our main observation was the management of finances and obtaining rent from tenants. On several occasions letting agencies were allowing the tenants to fall into large amounts of arrears often leaving an excess of 6 months’ rent unpaid. Typically, this amounts to thousands of pounds and research shows that tenants who are unable to pay their bills will often have very little respect for the well beings of the property, which lets remember doesn’t actually belong to them.

This situation leaves us with two critical problems. Firstly and most importantly the landlord is without money which is essentially the most important part of this entire process and their investment is at risk of damage. Secondly Safe and Secure Property Management would also like to acknowledge a duty of care towards the tenant. In an economy which unfortunately has a massive amount of debt, we believe that the agency have a duty of care not only to the landlord, but also toward the tenant. If the tenant is unable to maintain payments for the property then the agency should make it their duty to make physical contact with the tenant at the earliest opportunity and make an assessment of the overall circumstances which have caused this situation to arise.

Safe and Secure Property Management have devised a new and unique system which is geared towards protecting the landlords investment as well as safeguarding the tenants financial well-being. We have developed a team of trained individuals who we call “the financial support team”

Safe and Secure Property Management propose to deal with tenants in the following manner. Any tenant who would like to rent one of our properties must sign and accept the terms and conditions of our agreement/contract. Within this contract the tenant will accept that should they fall into arrears for any reason whatsoever they will be given 7 days immediately to rectify the problem and make a full payment to the office. If the full payment isn’t made within 7 days then the tenant must accept an immediate visit from a member of the financial support team who will attend the rented property in an informal manner and make an assessment of the circumstances.

Whilst at the address the Financial Support Team Member will not only make a physical observation of the property but most importantly they will discuss the circumstances which have led to the late payment. All of these details will be recorded in a booklet which we will call “The Visit Summary”. This booklet will essentially contain ALL relevant information relating to the property and an up to date summary of the tenants current circumstances. This booklet then is returned to the Safe and Secure office where a copy will be forwarded to the landlord immediately.

Safe and Secure Property Management appreciate that within this industry you will always be faced with poor tenants who fail to make prompt payments and do not look after the property with sufficient care, however, our concept is to minimise the period of time in which the tenant is not complying with the agreed conditions and also provide the landlord with an up to date and accurate overview of the situation at the earliest opportunity.

Although Safe and Secure Property Management agree to take care and control of your investment we also acknowledge that the property still belongs to yourself and as the landlord is it your responsibility to make key decisions with regards to your tenants. Our aim is to provide the landlord with a comprehensive report outlining the current circumstances, this will enable you to make an educated decision as to the progress of your investment and also minimise the period of time at which your property is without return.

The Financial Support Team work directly for Safe and Secure Property Management and each member has received specific training in order to fulfil the high expectation and level of service which our company prides our self on.

Safe and Secure Property Management fundamentally aim to secure good quality tenants who in an ideal world will take excellent care of the property and pay the full rent, on time, every month as agreed. We are however also very realistic and appreciate that despite security checks and vetting there is all too often times when people find themselves in unexpected financial difficulties. Our promise to our landlords is this, we will not sit back and repeatedly send pro formal letters out to these problematic tenants who ultimately take zero notice this allowing the debt to spiral out of control. As agreed within our Safe and Secure tenancy agreement 7 days after the first late payment the tenants will receive a personal visit, at the property by a trained member of the Safe and Secure Financial Support Team. This individual will establish and record all relevant circumstances relating to the late payment which will then be recorded in a visit summary booklet and immediately forwarded to the Landlord. This will enable you to make a decision based on accurate and current information at the very earliest opportunity.
Safe and Secure Property Management will then receive instruction from the landlord and expedite an action which is agreed.

This service will be charged at £150.00 per completed job. You will receive no charge for the service if you have our full management package.
